1. Who We Are
VividCV is an AI-powered CV screening platform operated by VividHR. We help recruiters and hiring teams analyse candidate CVs against job specifications. Our registered address and contact details are available at privacy@vividcv.ai.
2. Information We Collect
We collect the following categories of information:
- Account data: Your name, email address, company name, and password (hashed) when you register.
- Job and CV data: Job specifications and candidate CVs you upload for analysis. This may include personal data about third parties (candidates).
- Usage data: How you interact with the platform, including pages visited, features used, and analysis results viewed.
- Billing data: Payment method details processed securely through our payment provider. We do not store raw card numbers.
- Technical data: IP address, browser type, device identifiers, and log data collected automatically.
3. How We Use Your Information
- To provide, operate, and improve the VividCV platform.
- To process CV analyses using AI (see Section 5 on AI processing).
- To manage your account, subscription, and billing.
- To send service-related communications (e.g. verification emails, billing receipts).
- To detect and prevent fraud, abuse, or security incidents.
- To comply with legal obligations.
4. Candidate Data
When you upload candidate CVs, you are the data controller for that personal data and VividHR acts as your data processor. You are responsible for ensuring you have a lawful basis to process candidate data and that candidates have been informed their CV may be processed by AI tools. We process candidate data solely to deliver the analysis results you request. We do not use candidate data to train AI models.
5. AI Processing & Third Parties
CV analysis is powered by Anthropic's Claude AI. When you submit a CV for analysis, relevant content is sent to Anthropic's API for processing. Anthropic's privacy policy governs their handling of this data.
We also use the following sub-processors:
- Google Firebase: Authentication, database, file storage, and hosting.
- Anthropic: AI analysis of job specifications and CVs.
6. Data Retention
We retain your account data for as long as your account is active. Job and CV data is retained for 365 days from upload by default, after which it is deleted. You may delete your data at any time from within the platform or by contacting us.
7. Your Rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Request deletion of your data.
- Object to or restrict certain processing.
- Data portability.

8. Security
We use industry-standard security measures including encryption in transit (TLS), encrypted storage, and access controls. No method of transmission over the internet is completely secure. We will notify you of any breach that affects your personal data as required by law.
9. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated by email or a notice on the platform. Continued use of VividCV after changes take effect constitutes acceptance of the updated policy.
